The Civic Journey call for evidence privacy notice
The Young Foundation is data controller for any personal data you provide as part of your response to the consultation. By responding to this call for evidence, your personal data will likely consist of your name, contact details, your region and postcode and your views or other personal information you choose to disclose in your response to the questions listed in the ‘Topics of Interest’ section.
We rely on Consent (that you have given clear consent for us to process your personal data for a specific purpose) as the lawful basis on which we collect and use your personal data. At any point, you may withdraw this consent and we will delete the relevant personal information from our internal records and anonymise any reference to you in our external publications. Where relevant we will also inform other parties who have requested to access the data from the open access evidence base.
Following this submission, your personal and identifying data will be available to employees of The Young Foundation working on the Call for Evidence, as well as members of the Civic Journey team from outside The Young Foundation: Professor Matthew Flinders, other staff at the University of Sheffield, and Professor Andy Mycock. As emphasised above, the contents of your submission will also be available for any member of the public to view on request. Accordingly:
- We will retain any personal information necessary to maintain our open access evidence base (for example, any personal data in the main body of your response, your email address so that you can be contacted about your response) indefinitely during the lifetime of the open access evidence base.
- Personal data shared that is not necessary to maintain our evidence base (your postcode, your answers to questions 4-10 in the ‘personal information’ section) will only be retained for 24 months. We will use your personal data to receive your comments and views via this call for evidence, and to analyse the evidence you provide to inform our research on the Civic Journey. We may also use your personal data to contact you regarding your response and for statistical purposes, as well as to contact you about related matters. Any member of the public or organisation may request to see the content of your responses to ‘Topics of Interest’, which may contain your personal information such as your views, to process for their own purposes.
Personal data related to individuals other than the respondent will be treated in the same manner as described above. Where personal information that relates to individuals other than the submitter is included in your submission, please take steps to completely anonymise the submission so that those individuals are not identifiable. For more information on the meaning of ‘identifiable’, anonymisation and personal data, see ICO guidance here. If complete anonymisation is not possible, please ensure you have permission to share that data with us and we will ask you to demonstrate that you have shared the terms of this privacy notice with those individuals.
Our privacy notice contains further information about your rights in relation to your personal information and how to contact us and supervisory authorities in the event you have a complaint.
Your rights in relation to your personal information
Under the General Data Protection Regulation you have a number of important rights free of charge. In summary, those include rights to:
- fair processing of information and transparency over how we use your use personal information
- access to your personal information and to certain other supplementary information that this Privacy Notice is already designed to address
- require us to correct any mistakes in your information which we hold
- require the erasure of personal information concerning you in certain situations
- receive the personal information concerning you which you have provided to us, in a structured, commonly used and machine-readable format and have the right to transmit those data to a third party in certain situations
- object at any time to processing of personal information concerning you for direct marketing
- object to decisions being taken by automated means which produce legal effects concerning you or similarly significantly affect you
- object in certain other situations to our continued processing of your personal information
- otherwise restrict our processing of your personal information in certain circumstances
